A successful business event can bring tremendous value to your organization, relationship management, workplace atmosphere, and customer acquisition. What is the Goal of Your Event?

First, determine what you ultimately want to achieve with the event. And more importantly, why you want to achieve this. Do you want to increase your brand awareness, attract new relationships, or celebrate an anniversary?

Make this goal concrete by formulating a SMART objective. This means making your goal Specific, Measurable, Acceptable, Realistic, and Time-bound. This way, it will be easy to assess later whether the goal was achieved. Once the goal is clearly established, you can select your target audience and decide on the venue.

Who is the Target Audience?

Now that the goal is clear, it’s time to determine who you need to invite to achieve it. Will you invite all of your employees? With or without partners? Are you looking to attract potential clients? And how many people do you want to invite, both as a minimum and maximum number? You should also consider whether you’ll charge an entry fee or if the event will be free. Once you have this in mind, you can then determine the style, atmosphere, marketing approach, and budget for the event.

When, at What Time, and Where?

To determine where to organize your event, when it should take place, and at what time, ask yourself the following questions:

  • What atmosphere do you want to create with the decoration, lighting, and music?
  • What type of style are you looking for in the venue? Do you prefer industrial, authentic, or modern?
  • How do you view the location and its accessibility for you?
  • Does the venue need to be near the highway, in the city center, or in a quiet, green area?
  • Do you want visitors to have paid or free parking?
  • Will you offer both snacks and drinks or just drinks?
  • Will the event take place on a weekend or a weekday?
  • Is the event happening during a summer holiday period? Or does that not matter?

Promoting Your Event

How will you reach your target audience and persuade them to attend your event? If your target audience is your employees, it’s relatively easy to reach and convince them. But if you’re focusing on an audience whose contact details you don’t have, it becomes a bit more challenging. These tips can help:

  • Create a Facebook event and post one or several updates.
  • If you have email addresses or contact information, send an appealing email or post. The benefit of email is that you can follow up with people who haven’t opened it yet.
  • Feature the event prominently on your website’s homepage. If you have guest speakers, include their photos on your website.
  • Partner with organizations that have a wide reach.
  • Is the event large-scale? Promote it through media or press.
  • Even if the event is free, make sure visitors sign up so you can stay in touch with them and build anticipation. Equally important is ensuring that people also cancel their registration if they can’t attend.
  • Make social media posts or send an email during or after the event.

Evaluating and Learning

Last but not least, after the event, it’s important to evaluate the event plan. There will surely be areas where things could have gone smoother. Take those learnings with you for your next event.
